Straight answers on what a live embroidery bar costs

Every event is quoted, but not mysteriously. Staffed local stations generally start around $5,000, and the number moves for reasons you can see below.

~$5,000

Typical starting point for a fully staffed local station: machine, operator, digitizing, thread menu, and a baseline garment package.

$250/hr

Staffing rate, counted from load-in through strike — setup and teardown hours are real hours, so we plan them tightly.

$900

Flat travel fee for events outside Orange County, Los Angeles, and San Diego; Las Vegas and beyond are quoted with lodging where needed.

Quote inputs

Five levers that set your number

  1. Machine heads

One machine stitches 8–12 personalized pieces an hour. Two machines double the pace and add redundancy; a patch-press lane triples effective throughput for less than a second machine.

  2. Stitch time per design

A three-letter monogram runs about four minutes; a dense 4-inch logo can run fifteen. Simpler art means more guests served in the same window.

  3. Garment selection

A cotton tote and a plush robe sit at very different price points. We’ll build a garment mix that matches your budget per head — or run stitch-only on pieces you supply.

  4. Event hours

Most bars run two to four live hours. Longer windows spread the fixed costs across more guests, which usually improves per-piece economics.

  5. Prep & artwork

Names and monograms use our existing font kit at no art charge. Custom logos need one-time digitizing and a test sew, folded into the quote.

A useful way to budget

Think per guest served, not per hour

A two-hour, one-machine monogram bar personalizes roughly 20–25 pieces. The same budget with a patch lane added serves 100+. Neither is “better” — a 60-guest rehearsal dinner wants the intimate version, an expo booth wants volume. Tell us which outcome you’re buying and we’ll shape the station to it.
